Privacy Policy

1. Who we are

Ulka provides the Ulka ERP platform (“Ulka”, “we”, “us”, “our”). This Privacy Policy explains what personal information we collect through our public website and the Ulka ERP application, how we use and share it, the legal bases we rely on, and the choices and rights you have. 2. Scope and our role

This policy applies to visitors of our website and to users and organizations of the application. For the account and website information we collect about you, we act as the data controller. For the business data an organization enters into the ERP (such as its customers, invoices or employee records), the organization is the controller and we act as its processor, handling that data on its instructions to provide the service.

3. Information you provide

When you sign up and onboard, we collect account and profile details such as your name and email address, a password (which we store only in hashed form), and organization details such as organization name, country, business type and contact information. We also process the business data you choose to enter into the ERP, including records for customers, suppliers, products, inventory, sales, purchases, accounting, HR and any documents you upload. We collect only what is needed to create and operate your organization. The launch offer does not require or collect any payment or card information.

4. Information we collect automatically

When you use the website or application we collect basic technical and log information such as IP address, device and browser type, the pages and features you use, and timestamps. This is used to operate, secure and troubleshoot the service. Non-essential analytics are collected only with your consent, as described in our Cookie Policy.

5. Cookies and similar technologies

We use essential cookies and similar technologies (including browser storage) for sign-in, security and core functionality, and, only with your consent, analytics and marketing technologies. You can accept all, reject non-essential, or choose per category, and you can change your choice at any time using the “Cookie preferences” link in the footer. See our Cookie Policy for details.

6. AI features and your data

The AI Center operates over the business data in your own organization, within your role-based permissions, to answer your questions, generate insights and reports, extract structured data from documents you upload, and run automations you configure. AI processing happens only to deliver the feature you invoke. AI output can be incomplete or inaccurate and should be reviewed before you rely on it. We do not sell your data, and we do not use your business data to build advertising profiles; requests sent to our AI service providers are processed solely to generate the response you asked for, under their terms.

7. How we use information

We use information to provide, secure and operate the service and your organization; to deliver the features you use, including AI features over your own data; to authenticate users and prevent abuse; to communicate with you about your account, service updates and support requests; with your consent, to understand usage so we can improve the product; and to meet our legal, accounting and tax obligations. We do not sell your data.

8. Legal bases

Where data protection law such as the GDPR applies, we rely on the following legal bases: performance of our contract with you to provide the service; our legitimate interests in securing, maintaining and improving the service; your consent for non-essential analytics and marketing; and compliance with legal obligations.

9. Data isolation and multi-tenancy

Ulka ERP is multi-tenant software. Your organization’s data is isolated from other organizations at the tenant level, access within your organization is governed by role-based permissions, and every request is scoped to your active organization and validated on our servers.

10. Sharing and sub-processors

We share data only with service providers that help us run the platform, such as hosting and infrastructure, email delivery, AI model providers and, with your consent, analytics. These providers act under confidentiality and data-processing terms and only for the purposes we specify. We may also disclose information where required by law or to protect the rights, safety and security of our users and the service. We do not sell or rent your data to third parties.

11. International transfers

Ulka ERP is designed for international use. Where your data is processed in a different region from where you are located, we apply appropriate safeguards consistent with applicable law to protect it in transit and at rest.

12. Data retention

We retain your data for as long as your account is active and for a reasonable period afterward to provide the service, resolve disputes, and meet legal, accounting and tax requirements. You can request an export or deletion of your data as described below, subject to any retention we are legally required to maintain.

13. Security

We use technical and organizational measures including authentication, hashed passwords, role-based access control, organization scoping, audit logging, input validation, rate limiting on sensitive endpoints, and encrypted transport. No system is perfectly secure, but we work to protect your data and to respond promptly to any incident. You can read more on our Security page.

14. Your rights

Depending on your jurisdiction, you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent at any time. Where the business data concerns individuals and your organization is the controller, we will direct or forward relevant requests to that organization. 15. Children

The service is intended for businesses and is not directed to children. It is not intended for anyone under 16, or under the age of majority in their jurisdiction, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

16. Changes to this policy

We may update this policy from time to time and will indicate the effective date below. If we make material changes, we will communicate them through the service or by email before they take effect.
